How we handle personal data and your GDPR rights

Clear, practical privacy information covering lawful processing, retention, and deletion requests.

This Privacy Policy explains what personal data LooScout collects, why we collect it, and the choices you have under UK GDPR / EU GDPR principles.

1) Who we are

LooScout is an independently run community platform that helps people find and share public toilet information.

2) Data we collect

  • Account data: username, email address, password hash, profile settings, and optional profile content (for example display name, bio, and profile photo).
  • Contribution data: toilet submissions, edits, reviews, ratings, and moderation history linked to your account.
  • Usage and technical data: basic logs and security/session data required to operate and protect the service.
  • Analytics data: if enabled, Google Analytics cookies and aggregated usage metrics (for example page visits and interaction trends).

3) Why we process your data (lawful bases)

  • Contract / service delivery: to provide account access and core platform features.
  • Legitimate interests: to keep data quality high, prevent abuse, and improve reliability/usability.
  • Legal obligations: where we must retain or disclose certain information by law.
  • Consent: where optional settings are used (for example certain communications or analytics configurations where applicable).

4) Data sharing

We do not sell personal data. Data may be shared only with essential service providers (for example infrastructure, email, and analytics providers) to operate the platform, and only as needed.

5) Data retention

We retain personal data only as long as necessary for account operation, moderation/audit integrity, legal compliance, and security. Retention periods may vary by data type.

6) Your GDPR rights

Subject to applicable law, you can request:

  • Access to your personal data
  • Correction of inaccurate data
  • Erasure ("right to be forgotten")
  • Restriction of processing
  • Data portability
  • Objection to certain processing

7) Data deletion requests

You can delete your account using the account deletion flow in your profile settings. You may also email deletion requests to DP@toiletmapper.com.

Where feasible, deletion requests are processed without undue delay. In some cases, limited records may be retained where required for legal, fraud-prevention, or security reasons.

8) International transfers

If data is processed outside your jurisdiction, we aim to use appropriate safeguards and provider controls to protect your information.

9) Security

Reasonable technical and organisational measures are used to protect personal data, including access controls and secure credential handling.

10) Contact and complaints

For privacy or data protection questions, contact DP@toiletmapper.com. General support is available at hello@toiletmapper.com.

You also have the right to lodge a complaint with your local data protection authority if you believe your data has been handled unlawfully.

11) Policy updates

We may update this policy when platform features, legal requirements, or processing activities change. The latest version is always published on this page.
